Role Overview
We’re seeking a highly organized and proactive Virtual Assistant to support our boutique wealth management firm. This remote role is ideal for someone with experience in administrative support—preferably in financial services—who thrives in a client-focused environment. You'll play a key role in keeping our operations running smoothly by managing schedules, handling client communications, maintaining records, and supporting our tax planning and financial advisory processes. Key Responsibilities
- Manage calendars ad schedule client meetings (via Zoom and phone).
- Prepare and organize documents for client meetings.
- Handle client communication (email and phone), ensuring timely follow-ups.
- Assist with onboarding new clients (data entry, form preparation, e-signature coordination).
- Maintain CRM and client records with up-to-date, accurate information.
- Liaise with custodians as needed.
- Support marketing initiatives.
- Perform general administrative duties to keep operations running smoothly.
Qualifications
- Experience as a Virtual Assistant or Executive Assistant (finance experience preferred).
- Excellent communication skills, both written and verbal.
- Strong organization skills and attention to detail.
- Tech-savvy: Proficient in Google Workspace, Zoom, CRM platforms. Wealthbox experience a plus.
- Discretion and integrity when handling confidential client information.
- Familiarity with financial services, wealth management, or tax planning terminology is preferred.
- Self-starter with the ability to work independently in remote setting.
Role Details
- Position: Part-Time, flexible hours, approximately 15-25 hrs per week
