Virtual Assistant, Part-time


Role Overview

We’re seeking a highly organized and proactive Virtual Assistant to support our boutique wealth management firm. This remote role is ideal for someone with experience in administrative support—preferably in financial services—who thrives in a client-focused environment. You'll play a key role in keeping our operations running smoothly by managing schedules, handling client communications, maintaining records, and supporting our tax planning and financial advisory processes. Key Responsibilities

  • Manage calendars ad schedule client meetings (via Zoom and phone). 
  • Prepare and organize documents for client meetings. 
  • Handle client communication (email and phone), ensuring timely follow-ups. 
  • Assist with onboarding new clients (data entry, form preparation, e-signature coordination). 
  • Maintain CRM and client records with up-to-date, accurate information. 
  • Liaise with custodians as needed. 
  • Support marketing initiatives. 
  • Perform general administrative duties to keep operations running smoothly. 

Qualifications

  • Experience as a Virtual Assistant or Executive Assistant (finance experience preferred). 
  • Excellent communication skills, both written and verbal. 
  • Strong organization skills and attention to detail. 
  • Tech-savvy: Proficient in Google Workspace, Zoom, CRM platforms. Wealthbox experience a plus. 
  • Discretion and integrity when handling confidential client information. 
  • Familiarity with financial services, wealth management, or tax planning terminology is preferred. 
  • Self-starter with the ability to work independently in remote setting. 

Role Details

  • Position: Part-Time, flexible hours, approximately 15-25 hrs per week
  • Location: Fully remote 
  • Compensation: Competitive, commensurate with experience
